Quick guide for billing managers

This guide is for Billing Managers or anyone responsible for billing tasks in your organization. It covers:

  • Activating your Katalon True Platform account
  • Purchasing your Katalon subscription
  • Checking your licenses
  • Managing payment methods (bank transfer and credit card)
  • Managing subscriptions (renewal, cancellation, upgrades)

Activate your Katalon True Platform account​

If you're a first-time customer, an activation email (Proof of Delivery) with instructions will be sent to the email used during purchase.

To activate your account, sign in to Katalon True Platform using the same email address used for the payment.

Purchase your Katalon subscription​

  1. Go to the Katalon Purchase Portal.
  2. Confirm your plan and the number of seats you need.
  3. Click Proceed to checkout. You are redirected to the checkout page.
  4. Fill in your payment details and billing information.
  5. Check the agreement box, then click Checkout.

After a successful payment, you are taken to the Order Summary page. From here, you can go to:

  • Subscription Management - open the Subscriptions page to view and manage your active subscriptions.
  • Assign License - assign licenses to users in your organization.

Check your Katalon licenses​

Make sure you are assigned as an Account Admin to view your Account's license details.

Log in to the Katalon Purchase Portal, then click Subscriptions to view your current subscriptions and how many seats or sessions you currently have.

Or, for a detailed view of all your current licenses: Click on Go to True Platform to redirect to the License Management page.

On the License Management page, you can check:

  • License summary: View purchased and available licenses by license type, including seat-based licenses, TestCloud session-based licenses, KRE session-based licenses, and Application Under Test based licenses.
  • License Usage Policy: Configure how users draw KRE licenses from Organization or Account license pools. See Configure KRE license policy.
  • Product license tabs: Manage Organizations with dedicated licenses for each purchased product license, including add-ons.
  • Dedicated license table: View Organizations with dedicated licenses and check their license allocation, usage, availability, and update details.
  • Assign Dedicated Licenses: Assign dedicated licenses to Organizations when you need to distribute purchased licenses across your Account.

License terms:

  • Dedicated: The number of licenses exclusively assigned to a specific Account or Organization. Dedicated licenses can be distributed to sub-Organizations or individual users.
    • If licenses are not marked as Dedicated, any user within the Account can access and use them freely.
  • Pool: The number of licenses remaining after subtracting licenses assigned to direct sub-Organizations. If no licenses are dedicated to sub-Organizations, the pool equals the total number of dedicated licenses.
  • Available: The number of licenses that have not been assigned to any sub-Organization or user.

Payment Method​

Make sure you are assigned as an Account Admin to manage your Account's payment.

Katalon offers 2 payment methods to pay your bill:

  • Bank Transfer
  • Credit Card

Bank transfer payment​

Katalon supports Bank Transfers through both ACH (Automated Clearing House) credit transfer and wire transfer. When you place an order using the Bank Transfer option, you will receive payment instructions that include all the necessary information to complete the transaction.

  • Please ensure that your transfer amount covers all bank fees so that Katalon receives the full amount as stated on the order. Any shortfall due to bank charges may delay the processing of your order.

The payment deadline for any order is set at 7 days from the date of your order placement. The rule applies to both new orders and renewals:

  • New orders: Payment is due within 7 days of order placement. Katalon will activate your subscription as soon as the payment is completed. If payment is not received by the end of the 7th day, your order is automatically canceled. To proceed, you must place a new order.
  • Renewals: You will receive a reminder email 7 days before your renewal date (or expiry date) with payment instructions. On the renewal date, if the full renewal amount has not been received, your subscription will expire and be terminated. You will then receive a confirmation email for the cancellation.

Additional details:

  • Payment may take 1-3 business days to reach Katalon's bank account. It must be received by the due date to avoid cancellation.
  • You can make either a single payment or multiple partial payments within 7 days, but make sure the total sums match the total invoice amount.
  • You cannot place a new order until you settle the outstanding balance of any pending payment.

Credit card payment​

Katalon supports Credit Card payment. You can only use one card in each Account for all your subscription purchases, including renewals.

When you place an order with a credit card, you will receive a confirmation email once your payment is successful, and Katalon will activate your subscription instantly.

  • If you pay the renewal fee with your Credit Card, you will receive a reminder email 7 days before the renewal date (or expiry date), providing details about your upcoming renewal.
    • On the renewal date, your credit card will be charged the renewal fee.
    • In case of a payment failure, the system will offer a 7-day grace period from the renewal date. You will be notified to update your payment details within this period. Make sure the payment is completed within this 7-day period; otherwise, your subscription will be terminated until a successful payment is made.

Update credit card information​

In Katalon True Platform, you can only save one card in each Account. If you want to replace your credit card, follow these steps:

  1. Go to the Katalon Purchase Portal, click Payment & Billing tab.
  2. Choose Card as Payment Method.
  3. Click Update.
  4. Enter your new payment information, then click Save.

The new card is now used by default for all billing purposes, including subscription renewals.

Delete an existing credit card​

  • You cannot undo this action. Once you delete the card, it is permanently removed from your Account.
  • Once you delete the card, Bank Transfer is automatically set as the default payment method.

Follow these steps to delete an existing credit card:

  1. Go to the Katalon Purchase Portal, click Payment & Billing tab.
  2. Click the ... icon, then choose Delete.

Subscription Management​

Make sure you are assigned as an Account Admin to manage your Account's subscriptions.

View renewal date​

Renewal dates for Katalon subscriptions vary depending on the purchase date of each subscription. Your subscription will automatically renew on the expiry date.

Go to the Katalon Purchase Portal, then click Subs. The renewal date for each subscription is shown in the Next renewal field: NEXT RENEWAL: Dec 16, 2026

Eligible auto-renewal subscriptions are automatically upgraded to Katalon True Platform at the end of the current subscription term. Subscriptions with auto-renewal turned off are not converted and expire as scheduled.

Cancel your subscription​

If you cancel your subscription before the expiry date, you will not be charged for your next billing cycle and will continue to use the subscription until the end of its expiry date.

Subscription cancellation does not issue a refund and the subscription remains active until the end of the current billing period.

Subscriptions with auto-renewal turned off are not automatically converted to Katalon True Platform at the end of the term. They expire as scheduled.

  1. Go to the Katalon Purchase Portal.
  2. Click Subs.
  3. Turn off the Auto-renew toggle for the subscription you want to cancel.
  4. A confirmation popup will appear. Click Turn off to proceed.

Your subscription remains active until the end of the current billing period. Auto-renew is now disabled and your subscription will not be renewed.

Note: You can reactivate auto-renew at any time before the expiry date.

Add more sessions or licenses to your Katalon subscription​

You can upgrade your subscription at any time. Upgrading your subscription does not require you to cancel your existing subscription.

Your Account will be upgraded immediately upon successful payment of the prorated amount. Any new license or session you add will co-term with your existing subscription end date.

For example, if your subscription ends on Jan 1, 2026, and you add licenses in July 2025, you'll only pay a pro-rated amount for the period from July 2025 to Jan 1, 2026—not for a full year.

Depending on your work requirements, you can:
  • Purchase more Katalon Studio per-user licenses for all users to avoid mixed free and paid Katalon Studio within an Organization.
  • Purchase more Katalon Test Execution - Local floating licenses to run more execution sessions on the same machine.
  • Purchase Desktop & Mobile Browser sessions to expand web test coverage with mobile browser access alongside desktop.
  • Purchase Mobile Native App sessions to test native Android and iOS apps on real device cloud.
  • Purchase Private Dedicated Device sessions to reserve real devices for your team.

You can start from the Katalon Purchase Portal or from the License Management page.

To purchase from the Katalon Purchase Portal:

  1. Go to the Katalon Purchase Portal and select the Account.
  2. In Subscriptions, click + Add Seats.
  3. Confirm the number of seats and add-ons you want to purchase.
  4. Click Proceed to checkout. You are redirected to the checkout page.

To purchase from the License Management page:

  1. Go to Account Settings > Account > License Management.
  2. Click Purchase License in the upper-right corner of the page. You are redirected to the Katalon Purchase Portal.
  3. Complete your purchase in the Katalon Purchase Portal.

Your Account is upgraded immediately upon successful payment. New licenses or sessions are added and co-termed with your existing subscription end date.
